Organizing Tags

As your tag collection grows, staying organized becomes essential. tagd-ai offers multiple ways to keep your tags in order.

Folders

Creating Folders

  1. Click + New Folder in the sidebar
  2. Enter a folder name
  3. Press Enter or click outside to save

Moving Tags to Folders

Drag and Drop:

  1. Click and hold a tag in the dashboard
  2. Drag it over a folder in the sidebar
  3. Release to move

From Tag Menu:

  1. Open a tag
  2. Click Move to Folder
  3. Select the destination folder

Bulk Move:

  1. Select multiple tags (Ctrl/Cmd + click)
  2. Click Bulk ActionsMove to Folder
  3. Choose the destination

Folder Operations

  • Rename: Right-click folder → Rename
  • Delete: Right-click folder → Delete (tags move to root)
  • Reorder: Drag folders to rearrange in sidebar

Nested Folders

Create hierarchy with nested folders:

  1. Drag a folder onto another folder
  2. It becomes a subfolder
  3. Nest up to 3 levels deep

Pinning Tags

Mark important tags for quick access:

Pin a Tag

  • Click the pin icon on any tag
  • Pinned tags appear at the top of your dashboard

Unpin

  • Click the pin icon again to remove
  • Tags return to their normal position

Hashtags

Use hashtags within content for flexible categorization:

Type hashtags directly in your content:

This equipment is #maintenance-required
Located in #warehouse-a #zone-3

Filtering by Hashtag

  1. Click on any hashtag in content
  2. Or use the search bar: #hashtag-name
  3. All tags containing that hashtag appear

Hashtag Best Practices

  • Use lowercase with hyphens: #asset-tracking
  • Keep them short and memorable
  • Create a standard set for your organization
  • Add hashtags at the end of content

Search and Filter

  1. Click the search bar or press /
  2. Type your search term
  3. Results filter in real-time

Use operators for precise results:

Filters

Click Filter next to search for quick filters:

  • My Tags - Tags you own
  • Shared with Me - Tags shared by others
  • Public - All public tags
  • Recent - Recently accessed

Sorting Options

Sort By

  • Created (newest/oldest)
  • Updated (newest/oldest)
  • Title (A-Z, Z-A)
  • Views (most/least)

Change Sort Order

  1. Click Sort in the dashboard toolbar
  2. Select your preferred sort
  3. Click again to reverse order

Views

Grid View

Default card-based layout:

  • Visual preview of content
  • Quick scan of many tags
  • Best for visual content

List View

Compact detailed list:

  • More tags visible at once
  • Shows metadata columns
  • Best for text-heavy tags

Map View

Geographic visualization:

  • Shows tags with location data
  • Click markers to preview
  • Filter by visible area

Switch views using the icons in the dashboard toolbar.

Bulk Operations

Manage multiple tags at once:

Select Multiple Tags

  • Click checkboxes on each tag
  • Or Ctrl/Cmd + click to select
  • Or Shift + click for range

Available Bulk Actions

  • Move - Move to folder
  • Delete - Delete selected tags
  • Permissions - Update permissions
  • Export - Download tag data

Archive vs Delete

Archiving

Hide tags without deleting:

  1. Select tags
  2. Click Archive
  3. Tags move to Archive section
  4. Restore anytime

Deleting

Permanently remove tags:

  1. Select tags
  2. Click Delete
  3. Confirm deletion
  4. QR codes stop working
Deleted Tags

Deleted tags cannot be recovered. Their QR codes will show a "not found" message.

Cleaning Up

Find Unused Tags

  1. Sort by "Last Viewed"
  2. Oldest views are rarely accessed
  3. Consider archiving or deleting

Find Large Tags

  1. Go to SettingsStorage
  2. View tags by size
  3. Optimize or remove large files

Review Sharing

  1. Go to SettingsSharing
  2. Review all shared tags
  3. Remove outdated shares
